Minutes of the Fifth Executive Committee Meeting

President Wilson David presided over the fifth meeting of EC of KAW for the year 2005.

The Executive Committee approved the minutes of the 4th meeting with changes. Prakash Menon moved the motion to approve the meeting minutes. Ex-Officio PM Mathew seconded the motion.

The first item in the agenda was to finalize the Onam venue. The secretary reported that if we chose Renton IKEA Performing Arts Center over the Lynnwood hall, we would incur and additional expense to the tune of around $1500. The committee then decided to go ahead with this plan as the Lynnwood hall was out of question to accommodate around 350 people expected to show up. The committee decided that we would collect a gate fee of $5 per head from individual attendees or would charge $15 for a family of more than 3. Children under the age of 15 would be exempted. We would not make a distinction between members and non-members of KAW for this program in collecting the gate fee. During the discussion, Wilson David proposed the idea of having no membership fee for KAW in the future. Instead all programs to collect a gate fee to cover the expenses. He pointed out that this was how most other regional associations worked.

Since the program coordinator did not get any entry for Athappoo competition, it was decided that KAW would request Santhi Madhu to put an Athappookkalam at the venue. Santhosh would get the list of high school graduates to be honored at the celebrations.

Vice President George Thomas requested the secretary to send out details about the cloth/toys drive as part of the Onam Celebrations. He asked the secretary to mention that Boys and Girls clothes (ages from 1-16) would be accepted. The clothes could be new or used, but need to be in reasonably good condition. No warm clothes required as these would be sent to India.

PM Mathew informed the committee about the possibility of hosting Chitra Iyer and Nadhir Sha and their 11-member troupe in Seattle on Sept 23rd. This would be their first program in the US tour. Santhosh Nair expressed concerns about our program being the first in the tour. PM Mathew said he would talk to the organizers to see if we could get an alternate date. The promoter of the show was asking for $3500 and an additional $500 if the show became a success. The committee estimated that we would incur about $2000 on renting the auditorium, insurance, and other incidental expenses. It was decided that we would have $20 individual tickets for KAW members and $80 for family ticket (4 or more from the same immediate family). Individual non-member ticket price would be $25, and there would be no family ticket for non-members.

The president allowed the committee to discuss picnic feedback as we earlier postponed the discussion on picnic for a later date. Secretary summarized the feedback received through the survey conducted. The survey results could not be stored as we were using a free survey site. The Vice President requested that a summary of the results be kept in the files for future reference. He also presented feedback he got from someone that it was inappropriate to collect a fee for kid’s games. The fact was that the kids games were meant to be free, and some kids decide to play fee-based games meant for adults (like throwing the ping pong ball). To avoid this, the vice president suggested that we should make clear distinction between games meant for adults and kids.

The committee also discussed briefly about the upcoming Talent Night show to be held on Oct 29th. Committee requested Wilson David to reserve a hall for this function.
