Minutes of the Sixth Executive Committee Meeting
Held at Wilson David’s residence (488, 123rd PL NE, Bellevue, WA 98005)

EC Members who did not attend: Rakhee James, Tom George, Santhosh Nair (Members), Deepak George (Youth Representative), Neetha Daniel (Youth Representative).

President Wilson David presided over the sixth meeting of EC of KAW for the year 2005.

The Executive Committee approved the minutes of the 5^th meeting with changes. George Thomas moved the motion to approve the meeting minutes. PM Mathew seconded the motion.

Prakash Menon distributed the Chitra Iyer show tickets to the EC members present. We decided that for this show, kids with ages 12 and up need to take the ticket.

The EC discussed if it made sense to consider an alternate venue as George Daniel had some concerns about the audio system in the hall. After some deliberations, the committee decided not to change the venue. The committee decided that we needed to reserve the hall from 5 PM to 11 PM allowing the performers to have a look at the auditorium and the audio system 2 hours in advance. Santhosh would enquire if the auditorium folks would allow snacks in the hallway outside of the auditorium. If they would allow, the committee decided to provide drinks and snacks to the attendees at a nominal rate. We would ask Mayuri and other restaurants if they could provide Samosas at a discounted rate. It was decided that tea, coffee and other snacks be made available at backstage for the performers.

The EC discussed the options we had for accommodating the performers. Kalpana and PM Mathew volunteered to take 2 people each. PM Mathew told that George Daniel could take 2. George Thomas told the committee that he’d be able to confirm whether or not he could accommodate couple of performers in a day or two. The EC would identify other options regarding accommodation soon.

The president allowed the committee to discuss the issue of Care and Share only issuing a check for $2400 to Rotary Club of Kochi. Santhosh would talk to the Care and Share people to see how they could help KAW keep its word. It was a misunderstanding from our part to interpret that the money got through giving campaign was all for Tsunami relief initiated by KAW. Santhosh would also see if there was a way to contact Microsoft HR to sent out a mail to all those contributed to see if they could designate the money to Tsunami relief and let Care and Share know about that.
