Minutes of Fourth Executive Committee Meeting

   

-          Held at Babu Parayil’s residence On 28th August 2006 at 7:00 PM

 

-     Meeting start time: 7:30 PM

-     Meeting end time:  9:30 PM

 

-     KAW President Babu Parayil presided over the meeting of KAW EC 2006.

 

Attendees: Babu Parayil(President), Santhosh Nair (Secretary), Jyothish Nair, Ojus John, Roopa Manoj, Wilson David.

Agenda for the Meeting and the Decisions taken:

   

1.       Onam Preparation Update::

   

1. Ojus John briefed about the stage arrangements and programme line up.

2. Santhosh updated the food volunteer list and agreed to send the list to EC by 29th.

3. Santhosh will be sending the programme remainder email to the community on 5th.

4. Event Ticket Sales, membership collection an Raffle Ticket sale at the Commons entrance will be lead by George and Ram. They will find more volunteers for the same. Rest of the EC members will also be assisting them. ( EC suggested Martin as a volunteers )

Ojus john will arrange the Raffle tickets.

5. Collecting event ticket at the entrance will be lead by Wilson and Roopa. . They will find more volunteers for the same. Rest of the EC members will also be assisting them. ( EC suggested Vishwa, Seema as volunteers )

6. Food arrangements will be lead by Madhu and Santhosh. . They will find more volunteers for the same. Rest of the EC members will also be assisting them. ( EC suggested Mercy, Mili Ojus as volunteers)

7. Stage Arrangements – Jyothish, Ojus, Madhu. They will find more volunteers for the same. Rest of the EC members will also be assisting them. (EC suggested Santhosh Moolayil, Sujit Kuruvilla as volunteers)

8. Introduction Song for Maveli will be provided by Santhosh.

9. EC decided not to have pookalam this time because fo the time restriction and due to the huge crowd they need manage.

11. Babu Parayil will deliver the welcome speech and he will honor John Titus on his recent achievements. 

10. Chief Guest will be Congress Representative from Seattle . He will address the audience during the event.

12. Santhosh Nair will deliver vote of thanks.

13. Babu Parayil will deliver the Banner to IKEA on 8th September.

14. More Sponsors for the event will be identified by Ram and Babu.


        15. Ojus, Jyothish and
  Babu will work on Programme flier.
        16. Ojus and Babu will
  work on designing Certificate for John Titus.
        17. EC members and their
  family will not be charged the entrance fee. 

 

2. IKEA Hall & Commons Booking Update – George.

  

Since George was absent for the meeting, Ojus explained their meeting with IKEA hall authority. Ojus, Babu Parayil and/or George will contact Commons Hall Authority regarding confirmation of booking of the hall and make sure enough furniture are available for serving the food. EC will be updated regarding this ASAP.

 

3. Co ordination during Onam Programme.

 

  This is explained in the first section of this document.

      

4. Miscellaneous Items.

   

1.      Ram will verify Hall availability for Malayalam Classes.

2.      Santhosh will be verifying the email address of all KAW members.
